Overview

The Project Accountant / Contract Coordinator supports the financial lifecycle of projects from project setup through closeout. This role is responsible for project accounting, contract administration support, billing coordination, consultant tracking, and project financial administration. Working closely with Project Managers and the Finance Director, this position helps maintain accurate project information, supports client invoicing, and promotes efficient use of Deltek Vantagepoint and standardized project workflows.

Key Responsibilities

Project & Contract Administration

Assist with contract preparation, administration, and fee proposals.Request and track Certificates of Insurance (COIs).Maintain project documentation, contract records, and client information.Project Setup & Maintenance

Set up new projects and maintain project information in Deltek Vantagepoint.Establish and update project budgets.Process project change orders.Billing & Project Financial Coordination

Prepare draft monthly client invoices, coordinate Project Manager review and revisions, and distribute approved invoices to clients.Prepare and submit client-specific billing forms, pay applications, and supporting documentation as required by contract terms.Monitor work-in-progress (WIP) and project billing status.Assist with project financial reporting and respond to Project Manager inquiries.Consultant Coordination

Maintain and monitor consultant budgetsAssist staff accountant with consultant invoice matchingReview Pay-When-Paid (PWP) documentation for payment processing.Project Support & Systems

Support project financial monitoring and data accuracy within Deltek Vantagepoint.Participate in process improvements and workflow standardization.Cross-train to provide operational coverage and assist the Finance Director and accounting team as needed.Qualifications

Strong organizational and time management skills with exceptional attention to detail.Ability to manage multiple projects, priorities, and deadlines in a fast-paced professional environment.Strong interpersonal and communication skills with the ability to work effectively with Project Managers, consultants, clients, and team members.Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.Experience with Deltek Vantagepoint or similar ERP/project management software preferred.Ability to analyze project financial information and identify discrepancies.Commitment to continuous improvement, process efficiency, and maintaining accurate project records.Ability to work independently while contributing to a collaborative, team-oriented environment.Education & Experience

Associate or bachelor's degree in accounting, business administration, finance, construction management, or a related field preferred.Two (2) or more years of experience in project accounting, project coordination, contract administration, billing, or a related administrative/accounting role preferred.Experience working in the Architecture, Engineering, Construction (AEC), or professional services industry is preferred.Experience with Deltek Vantagepoint or similar ERP software is a plus.Physical Requirements

Primarily office-based work environment.Ability to sit, stand, and work at a computer for extended periods.Ability to communicate effectively in person, by telephone, and electronically.Regular attendance during normal business hours is required.Additional Information:

Reports To: Finance Director

Work Schedule: Full-time, Monday–Friday

Office Location: Anchorage or Wasilla, Alaska

Hybrid: 3 days in office / 2 work from home after introductory period

Pay: $30.00 - $36.00 per hour
