About TM
TM is an award-winning New York City studio working at the intersection of architecture and lighting design. Led partners B. Alex Miller, Jeff Taylor, and Aoife O’Leary, the practice spans two arms: TM Architecture (architecture and interiors practice) and TM Light (lighting design practice). Through TM Light we collaborate with some of the world’s leading architects — including Frank Gehry, Morphosis, Thomas Phifer, Marlon Blackwell, DS+R, and Ten Berke — on projects such as the Orange County Museum of Art, Walker Art Center, Lever House, and NASA. Our 12-person studio works across residential, commercial, institutional, cultural, hospitality, and luxury retail projects.
About The Role
We are seeking a Finance & Studio Operations Manager to own our day-to-day finances and keep the studio running smoothly across both the architecture and lighting practices. This is a hands-on hybrid role: roughly two-thirds finance and billing, with the balance split between project fee proposals and studio operations.
We are a small firm that is growing quickly You will be able to own growth, and we welcome any ideas and implementation of growth strategy that can be achieved through automation and better financial tracking.
Please note this is a hybrid role with 4 days a week in office (remote Fridays). Our studio is located at 11 Broadway, New York, NY 10004.
Responsibilities
Base Responsibilities
Full-cycle bookkeeping: AP/AR, bank and credit card reconciliations, monthly closingMonthly project billing: prepare, send, and track client invoices; follow up on receivablesExperience with invoices with heavy reimbursablesOversee accounting related to furniture, furnishings, equipment, and material procurementTrack project budgets, billable hours, fees, and consultant invoices against contractsProcess payroll (via ADP)Coordinate with our outside CPA on quarter- and year-end taxesPrepare cash flow, WIP, and profitability reports for leadershipOnboarding/offboarding logistics for new hires. PTO tracking, health insurance, 401k coordinationWorking directly with the firm’s partners to help the firm grow. Ability to own that growth and execute your ideas
Additional Scope (depending On The Candidate’s Experience)
Draft architecture and lighting design fee proposals from principal input using our templates and historical project dataMaintain the fee history database so proposals get faster and more accurate over timeTrack proposal status and follow-ups
Qualifications
3+ years of bookkeeping/accounting experience, ideally in architecture, lighting design, engineering, or another professional services firmDegree BS in Finance or Accounting (or a relevant field/experience)Fluent in QuickBooks and Excel; comfortable learning new software fastDemonstrated use of AI tools and willingness and ability to think of new ways of automationUnderstanding of project-based billing, retainers, and fee structuresExceptionally organized, discreet with confidential information, and a clear written communicatorSelf-starter who can juggle deadlines without close supervisionAppreciation and interest in architecture and designLiving in NYC and ability to start immediately
Nice to have: experience building automations (Zapier, Make, scripts), experience drafting proposals or contracts, familiarity with AIA-style fee structure
Compensation & Benefits
